POSITION TITLE: Parish Administrative Assistant
PARISH: Santa Sophia Catholic Church, Spring Valley, CA 91977
REPORTS TO: Pastor
HOURS: Part time, 16 hours per week; 8 hours on Mondays and 8 hours on Fridays; some Tuesdays when Mondays are holidays
FLSA STATUS: Non-exempt
SALARY: $15.50 per hour
Santa Sophia Catholic Church seeks a part time parish administrative assistant. We are a Roman Catholic community with approximately 1,500 registered families located in Spring Valley, CA.
Position Summary:
The parish administrative assistant is responsible for clerical and office duties typically related to office, bookkeeping, and payroll administration. The parish administrative assistant will work primarily with the business manager and full-time administrative assistant, under the direction of the Pastor.
Primary Responsibilities include but are not limited to:
Follow-up and secure needed documentation for payroll preparation
Assist pastor and other staff members with bookkeeping/general office filing and delivering interoffice correspondence on campus as requested.
Answer phones and assist callers with needs providing general information pertaining to our parish/ Diocese — especially, needs related to the sacraments. Respond to voicemails.
Prepare reports using our Facilities Scheduler application.
Answer the general office emails in a timely manner and follow up.
Schedule appointments for the Pastor via Microsoft Bookings.
Help walk-in visitors with their needs and complete related documentation, such as: registration forms, Flocknote, Mass Intention requests, baptism, wedding, funeral, and Quinceañera process information, sacrament certificates, directing walk-in visitors to the appropriate points of contact.
Responsible for collecting some parish fees/ donations.
Coordinate special bulk mailings observing USPS bulk mailing requirements for non-profits and organizing parish volunteers for assistance.
Assist with the maintenance of office supplies.
Manage key log with approved ministry/ event leaders.
Open office at beginning of the day and secure at the end of the day.
Other duties as assigned by Pastor.
Minimum Qualifications:
Friendly, welcoming, professional, enjoys working with people, passionately Catholic.
Ability to manage difficult and unforeseen challenging circumstances/ complaints.
Demonstrates good judgement, discretion and confidentiality.
Familiarity with Microsoft Suite — Word, Excel, Publisher, and fearless in learning new software independently.
Must demonstrate excellent organizational skills, inter-personal communication skills, and attention to detail.
Must demonstrate time management and initiative to work efficiently without constant supervision and direction.
Must demonstrate excellent written/ verbal interpersonal communications and problem-solving skills.
Competent computer, keyboarding skills, and knowledge of use of printers, copiers, fax, and scans.
B.A. degree preferable.
Physical Demands:
While performing the duties of this job the employee is regularly required to remain in an office at a computer workstation and access information from a computer and use a telephone. The employee is required to be mobile to, from, and within the parish office, as well as maneuver throughout the facility to attend and assist with meetings, briefings, and other work-related events. The employee must occasionally stoop, bend, lift and/or move up to 30 pounds safely.
